ABOUT THE ROLE

The Supply Chain and Logistics team plays a vital role in enabling the organisation to maximise its capabilities by enhancing the prompt delivery of value. Through targeted performance enhancement strategies, this team focuses on streamlining supply chain, logistics, and digital procurement processes. As an integral part of this team, the role involves serving as the key expert in managing and optimising the procurement system, Coupa. Responsibilities include overseeing the system’s effective utilisation for source-to-contract, procure-to-pay, risk management, and data analytics, ensuring operational efficiency and optimisation. Additionally, this position is pivotal in fostering continual advancements in the procurement system by facilitating the utilisation of new features and overseeing relevant system upgrades.

RESPONSIBILITIES 

The successful candidate will:

  • Be seen as the technical expert for Procurement System, Coupa across the organisation
  • Own support and maintenance services for Coupa and its relevant interfaces
  • Work in collaboration with third parties to provide any additional support and maintenance services required for Coupa, SAP MM or integrated systems
  • Develop and maintain configuration, customisation and workaround documentation for the procurement system
  • Provide administrative support to; manage user groups, user accesses, expediting issues on purchase requisitions, invoices, approval chains etc.
  • Undertake procurement system upgrade activities in-line with company requirements
  • Undertake procurement system value realisation activities by working closely with representatives and implementing functional changes to the system
  • Provide change management support for deployment of key functional changes or integrated systems
  • Develop, train and maintain training materials and reference guides for procurement system and integrated system
  • Support standardisation and compliance across the business to procurement policies and procedures
  • Assist and align with the broader Supply Chain & Logistics strategy to build, implement and maintain a best-in-class supply chain and provide input into projects
  • Identify and deliver continuous improvement initiatives for procurement system (Coupa) through employing process improvement methodologies and the application of innovative thinking
  • Bring best in class solutions to current PR/PO process, driving AI and Automation into the procurement system
  • Work with internal team members and other key stakeholders to ideate solutions and business processes in relation to procurement system using clear business cases to outline findings and recommendations
  • Build and maintain a cost baseline for the procurement system to assist the Supply Chain & Digital Procurement Lead to manage budget and costs
  • Provide data analysis and insights on procurement metrics (e.g. procurement system utilisation, spend by category, PR to PO cycle time)

SKILLS, EXPERIENCE & QUALIFICATIONS

To be eligible for this opportunity, you will need to have the following skills and attributes:

  • 2+ years’ experience in configuring procurement systems
  • Strong, demonstrated Coupa, technical, functional and administrative experience
  • High level understanding of Coupa, Ariba and integrated systems, including SAP
  • Strong relationship management skills and effective communication skills across a diverse and geographically spread stakeholder group
  • Strong understanding of Purchasing, Supplier Onboarding, Sourcing and Contract Management processes and related procurement policies and procedures
  • Demonstrated experience in delivering the value to business using procurement systems and tools
  • General understanding of global P2P, S2C and Risk management policies, procedures, and best practices
  • The ability to apply a consistently high level of attention to detail
  • The ability to work to multiple deadlines and prioritise workload
  • Tertiary qualified in a technical or commercial discipline is desirable
